For hair salons

Hair salon software: appointments, till and client history in one panel

For salons that keep the appointment book, the payment notes and the client history in three different places. HMS Spa runs from appointment to check, from check to till and report in a single flow — in the browser, with nothing to install.

What does hair salon software actually do?

In a hair salon the day starts in the appointment book and ends at the till; in between, the colour a client used, the sessions left on a package and the work each stylist did are recorded in separate places. Hair salon software collapses those three books into one record: the appointment reception opens becomes a check, the check closes into the till, and the till flows into the reports. Nothing is written twice and no totals are added up by hand at closing.

In HMS Spa appointments live in a weekly calendar. You pick the branch and the date, click an empty slot to open an appointment, and drag it to move it to another time. Hours outside the salon’s opening times are shown as closed, so nothing gets booked into a closed hour. The appointment list filters by client, service, staff member, status and date range; every row shows the price, the amount paid and the balance, and status and payment are handled from that same row.

The client record is the salon’s memory. Alongside name, phone, city and date of birth it holds past visits, notes and tags such as VIP, loyal client or allergy; the loyalty wallet and satisfaction surveys are tabs on the same record. The client list filters by name, city, tag and status — so a group such as “VIP clients who have not been in for a while” is one screen away.

Payment runs on two screens. Under open checks, accounts opened under a booth or chair name take services and products; when the account closes a receipt is printed, and reprinted if needed. The store screen is for retail: scan a barcode or search by name and stock code, the product drops into the basket, you pick the client and the staff member, and the sale closes in cash or by card. The Products and Stock tabs keep the catalogue and the count in the same place.

Salons that sell packages track session-based and minute-based packages on their own screen: each row shows the package price, the amount paid and the balance, plus sessions used out of the total. The finance screen filters income, expenses and the net figure by branch and date range; reports are split into services, retail sales, package sales, staff performance and staff commission, and all of them export to Excel and PDF. The panel runs in the browser with nothing to install, and the iOS and Android apps open with the same account.

Modules

The six screens that carry a salon’s day

Appointment calendar

Click an empty slot in the weekly calendar to open an appointment, drag it to move it. Hours outside opening times show as closed; in multi-branch salons each branch has its own hours and time zone.

Client record

Past visits, notes, tags, the loyalty wallet and satisfaction surveys sit on one record. The list filters by name, city, tag and status, and new clients are added from the same screen.

Checks and till

Services and products are added to a check opened under a booth or chair name; closing the account prints a receipt, which can be reprinted. Cash and card payments are taken on the same screen.

Retail and stock

Sell by scanning a barcode or searching by name and stock code. The Products and Stock tabs keep the catalogue and the count together; on mobile the phone camera works as the scanner.

Packages and sessions

For session-based and minute-based packages, the row shows the price, the amount paid, the balance and the sessions used out of the total. Payments and instalments are handled from the same row.

Staff and commission

Each employee’s branch and role sit on their staff record, and an account is deactivated in one click. Time tracking, performance and commission reports are separate tabs.

Appointments and calendar

Move the crossed-out book onto a calendar

No more erased, crossed-out or unreadable lines in the appointment book. On the calendar an appointment is dragged to a new slot, its status is changed from the row and payment is taken in the same place. Who is free at which hour and which chair is busy is visible on one screen; at closing the list exports to Excel or PDF.

  • Open an appointment by clicking an empty slot in the weekly calendar
  • Drag an appointment to another hour or another day
  • Filter by client, staff member, service, status and date range
  • See price, amount paid and balance on every row
  • Hours outside opening times shown as closed

Till, packages and commission

Make the books balance at closing

When a check closes the amount moves to the till, and the till moves into the reports. Income, expenses and the net figure filter by branch and date range; expense categories such as rent and supplies and income types such as services, packages and retail are shown separately. Staff commission is not worked out by hand — it is read from its own report.

  • Income, expenses and net filtered by branch and period
  • Till, current accounts and expense categories kept on separate tabs
  • Service, retail and package sales reports with counts and turnover
  • Staff performance and staff commission reports
  • Every table downloadable as Excel and PDF

Four steps to move the salon across

Your account is opened

After your trial request we open an account for your business. There is no server setup and nothing to install on a computer; you sign in at app.hmsspa.com.

The salon is set up

Branch, opening hours, time zone and currency are set, and the service list and prices are entered. With more than one branch, each is defined with its own hours.

Clients are imported

Your existing Excel client list and open package balances are imported free of charge during the move; you do not retype records.

The team starts

Staff get their own accounts and permissions. Reception sees the calendar, each stylist sees their own day, and the owner sees the till and the reports.

Frequently asked

Hair salon software — frequently asked questions

Does hair salon software need to be installed on a computer?

No. HMS Spa runs in the browser; once your account is open you sign in at app.hmsspa.com from a computer, tablet or phone. Updates arrive on their own and nothing is installed device by device. The iOS and Android apps open with the same account.

Can I import my existing client list?

Yes. Your Excel client list and open package balances are imported free of charge during the move. After the import the history, tag and loyalty fields on each client record are ready to use.

I have several branches — can I run them from one account?

Yes. Each branch is defined with its own opening hours and time zone; the calendar, appointment list and finance screen all filter by branch. The Enterprise plan has no branch limit, and consolidated reports put branches side by side.

Does the software work out staff commission?

Staff performance and staff commission are separate reports in the panel. You pick the branch and the period; each row shows the count and the turnover, with totals on the bottom row. Reports export to Excel and PDF.

Is retail and stock in the same software?

Yes. On the store screen you sell by scanning a barcode or searching by name and stock code; the Products and Stock tabs keep the catalogue and the count together. In the mobile app the phone camera acts as the barcode scanner.

Do I need a credit card to try it?

No. The 14-day free trial does not ask for a card. Every feature of the software is open during the trial; plans differ only by number of branches, number of users and support scope.
