Session plan
Sessions used and the total sit side by side on the package row; each session is deducted from the appointment and the remainder updates instantly.
Solutions · Beauty centre
In a beauty centre the sale does not end in a day; it starts with a consultation, turns into a session plan and continues on a payment plan spread over months. HMS Spa keeps that chain on one client record: the session plan, the outstanding balance and the receivable are read from the same place.
In a beauty centre a client can walk out on day one without paying in full: there is a consultation, a plan is discussed, perhaps a deposit is taken. The real work happens over the following weeks. So the centre’s most fragile point is not the moment of sale but the three months between the sale and the last session. When the record breaks, two things follow: either a session is given away or an uncollected balance is forgotten.
In HMS Spa that chain sits on one record. The package row shows the price, the amount paid and the balance next to the sessions used out of the total; each session is deducted from the appointment and the remainder updates instantly. On an instalment sale the balance falls as the amount paid rises, so the answer to “how much has she paid” lives in one place and stays current.
An uncollected balance lands on the current accounts tab of the finance screen. Because the till, current accounts and expense categories are kept on separate tabs, revenue and receivables do not get mixed up at month end. Income, expenses and the net figure filter by branch and date range, with service, package and retail income shown separately.
On the capacity side appointments sit in the weekly calendar with their room and practitioner; for long treatments, hours outside opening times show as closed. Retail is added to the same check: a home-care product is sold by barcode or stock code, and the account closes under the room name. Practitioners see their own day in the mobile app, and the owner watches the till and the reports from outside.
Modules that carry the chain
Sessions used and the total sit side by side on the package row; each session is deducted from the appointment and the remainder updates instantly.
The amount paid and the balance sit on the package row; instalment collection is handled from the same row.
Uncollected balances gather on the current accounts tab of the finance screen, so revenue and receivables stay apart.
Consultation notes, skin details, allergy tags and past treatments on one record.
The appointment’s room and practitioner show on the row; with long treatments a clash is noticed on the calendar.
A home-care product is added to the same check or sold by barcode on the store screen; stock is tracked in the same place.
The session chain
When a ten-session plan is spread over three months, which session you are on and how much has been collected become two separate questions. The package row keeps both in the same place: sessions used out of the total, and amount paid out of the price. Opened from the client record, the same figures appear — so reception and practitioner read the same information.
Receivables and reports
In a centre that sells on instalments, the turnover shown at month end is not the money that reached the till. Because HMS Spa keeps the till, current accounts and expense categories on separate tabs, the two do not get mixed: what was collected sits in the till and what was not sits in receivables. The service report gives how often each treatment was performed, and the commission report what each person earned.
