A day on the floor

From opening to closing, in one panel

Described one by one, the modules may look like separate tools. On the floor they all revolve around the same record: the appointment flows into the tab, the tab into the register, the register into the report. An ordinary day goes like this:

Start the day with the overview

The Overview screen lists the number of branches, today's appointments and the upcoming sessions. Reception sees in the weekly calendar which therapist is busy when, clicks an empty slot and adds a new appointment.

Greet the guest by name

The customer card holds past sessions, notes, tags and the loyalty-point balance. A guest with a package has the session deducted with one click; the remaining session count updates instantly.

Open the tab, add the product

The service is posted to the tab; the massage oil sold from the Store screen by scanning its barcode goes onto the same tab. Stock decreases on its own, with no separate ledger for counting.
17:30

Post the payment to the register

The tab is closed by cash, card or bank transfer and the receipt is printed. The payment lands in the relevant register; for instalment package sales the outstanding balance is tracked on the customer card.

Close the day with the report

The finance summary shows the day's income, expenses and net. Service, product and staff reports download as Excel or PDF; the earnings report is ready for payroll at month end.

Nothing is entered twice during the day; each screen takes over the record of the one before. The order of records stays the same even when the shift or the staff change.

Setup and migration

Working from day one

Moving to a new system is the biggest worry for most businesses. With HMS Spa the migration is completed in four steps, while your business keeps running and at no extra cost.

Account and branch setup

Country, time zone, currency and working hours are entered on the Settings screen. If you have several branches, each is defined with its own time zone and working hours.

Service and product list

Together with our team you define your services with durations and prices, and your products with barcodes and stock quantities. Package definitions are set up by number of sessions or by minutes.

Data migration

The customer list and open package balances from Excel or your previous software are migrated free of charge; your customers' remaining sessions are correct from the first day.

Staff accounts

Manager, reception and therapist accounts are opened in seconds with predefined permission sets. Each employee sees only the screens that belong to their role.

Setup, service list definition and data migration are free in every plan; in the Enterprise plan on-site setup and team training are included as well. Your old records stay in your hands until the migration is complete; you decide the day you switch to the new system.

Multiple branches and permissions

In businesses with several branches, every screen has a branch selector at the top; the calendar, appointments, store, packages and reports are listed for the selected branch, and choosing "All" opens the consolidated view. Each branch is defined with its own time zone and working hours; staff are assigned to one or more branches with a role. Consolidated reports compare branches side by side; you see in one table which service performs where.

Hardware and devices

HMS Spa needs no special device; it runs on the computer, tablet and phone you already have. The hardware that speeds up work on the floor is supported directly:

Receipt and tab printer: the receipt prints with one click when the tab is closed
Barcode scanner: on the Store screen the product drops into the basket the moment it is scanned
Tablet at reception: the calendar and tab screens are designed for touch
