Frequently asked
What you want to know
From setup to payment, answers to the questions we hear most. If you can’t find yours, write to us; we reply the same business day.
How to read this page
The questions below are in four groups. The first covers what the software is and how you start; the second, pricing and payment; the third, day-to-day use; the fourth, data, privacy and security. If the question you are looking for is not here, write to us through the contact form.
We have tried to keep the answers short, and every answer describes what the product actually does today. We do not write up a roadmap feature as though it exists; when something is not there, we say so. If an answer feels incomplete to you, the reason is most likely that the thing itself is not there yet.
All the pricing-specific questions also appear on the pricing page; only the most common ones are repeated here. The binding versions of the contract, refund and personal-data texts are in the legal links at the foot of the page.
Some of the answers say plainly “no”. We do that deliberately: telling a customer clearly that something is not there is better than disappointing them after setup. For instance, automatic reminders sent to clients before their appointment are not in the product today; we write that here before you have to ask. Clients can, however, book their own appointments online: every branch has its own online booking page.
If the answer to a question changes over time, we update the text. If you think you are looking at something out of date on this page, write to us; we will both correct it and understand where it was read wrongly.
The information on this page describes the current version of the product. We do not present a feature that does not exist, and we do not print a figure whose basis we cannot state; if something here is out of date, write to us and we will correct it. The free trial is fourteen days and no credit card is required. We reply to written requests within the same working day. Plan scope and current fees are on the pricing page, and the binding form of our commitments on personal data is in the data protection notice.
Setup and Use
Do I need technical knowledge to get started?
No. HMS Spa is cloud-based, so there is no server or software to install. Once your account is created you simply log in at app.hmsspa.com from your browser. Our team sets up your treatment list and staff records together with you during onboarding.
Can I migrate my existing client and package records?
Yes. We import your client list from Excel or another program, along with any open package balances, free of charge. Your business keeps running without interruption during the migration.
Is my data safe?
Your data travels over an encrypted connection (SSL), is backed up daily, and is hosted in Türkiye in line with KVKK requirements. You can request a full export of your data at any time.
Is there a lock-in period? Can I cancel whenever I want?
Monthly plans have no lock-in; you can cancel at the end of any month. Annual plans include 2 months free, and you are notified before any automatic renewal.
Can I use it on a phone or tablet?
Yes. The dashboard works the same way in the browser on phones, tablets and computers. From the desktop at reception or your phone while you are out — the same data either way.
Pricing
What happens when the trial ends?
After 14 days you can choose a plan and carry on if you wish. If you do not continue, your account is closed; the data you entered is kept for 30 days and handed over to you on request.
Can I change my plan?
Yes, you can upgrade at any time and the difference is calculated pro rata by day. Downgrades take effect from the next billing period.
How do I pay?
By automatic credit card payment or by bank transfer against an invoice. An electronic invoice is issued for every payment.
Is there an extra charge for onboarding or migration?
No. Account setup, configuring your treatment list and importing data from Excel are free on every plan. The Enterprise plan also includes on-site training.
Mobile, Locations and Support
Is there a mobile app?
Yes. HMS Spa has iOS and Android apps; you follow client cards, package balances and daily revenue from your phone. The panel also works the same way in the browser on every device.
I have more than one location — can I manage them from one account?
Yes. On the Enterprise plan, unlimited locations are managed from a single admin account; the service and price list is updated centrally and consolidated reports compare locations side by side.
How does support work?
Every plan includes e-mail support; the Professional and Enterprise plans add priority phone support. You can reach us by phone and WhatsApp during business hours, and by e-mail at any time.
Data, privacy and security
Where is my data held?
The data is hosted in Türkiye. Which infrastructure providers are used, and the scope of any transfer, are set out in the data protection notice.
Can I export my data?
Yes. The appointment list, the finance tables and every report export to Excel and PDF. You can download a full dump of your data whenever you like; you do not have to open a request for it.
What happens to my data if I close the account?
After the account closes the data is kept for thirty days; within that period it is handed to you if you ask. At the end of the period it is deleted.
Which screens can my staff see?
Permissions are defined per user. A therapist can be limited to their own calendar and their own service records; the finance screens are opened only to authorised users.
Do you use my clients’ data?
No. The client data in your panel belongs to you; it is not used for marketing and not sold to third parties. The scope of processing is set out in the data protection text.
How is backup handled?
Backups are taken regularly on the system side; you do not have to do anything separate or pay extra for it. You can also download your own copy as Excel and PDF at any time.
How do I delete data a client has asked me to erase?
The client record is deleted from the panel. The scope and the periods for financial records under a legal retention duty are set out on the data protection page; we answer on this subject in writing.
How many devices can sign in to the panel?
A user account signs in from computer, tablet and phone; there is no extra charge per device. The iOS and Android apps use the same account and the same data.
How is access to the panel protected?
Sign-in is by email and password; every user has their own account and shared accounts are not recommended. The question of who entered which record can only be answered when users are separate.
Can branches see each other’s data?
That depends on the permissions. On the Enterprise plan restrictions are set per branch; a branch manager can be defined so that they see only their own branch’s appointment and finance records.
Can I change a user’s permissions later?
Yes, at any time from the settings screen. When a staff member leaves you close their account; their past records stay in the reports and are not deleted.
What happens when the internet goes down?
The panel is cloud based, so it needs a connection. During an outage you can keep working with the mobile app over your phone’s data; when the connection returns, the data is already in the same account.
Can I keep prices and revenue figures from my staff?
Yes. The finance and report screens depend on permissions; a therapist can be defined so that they see their own service records without seeing the business’s revenue figures.
Can two people be signed in to the same account at once?
Yes. Reception, the therapists and the manager can work at the same time with their own accounts; one can open an appointment while another closes a check. We recommend an account per person rather than sharing a single one.
Can I sign in from outside, from home?
Yes. The panel works over the internet, so it opens from outside the business too; reading the end-of-day report from home needs no extra setup. A user without permission does not see the finance screens from outside either.
