Appointment calendar
Click an empty slot in the weekly calendar to open a booking, drag it to move it. Hours outside opening times show as closed; with several shops each branch has its own hours.
For barbershops
Work reaches a barbershop two ways: booked and through the door. HMS Spa takes both into one flow — bookings from the calendar, walk-ins from a check opened under a chair name — and both land in the same till and the same commission report.
What sets a barbershop apart is speed: a shave takes twenty minutes, dozens of jobs pass through in a day and some customers arrive without booking. At that pace, writing in a book ends either in nothing being recorded or in the till and the book disagreeing by evening. Barbershop software ties the two intakes to one record: bookings open from the calendar, walk-ins get a check under a chair name, and both come down to the same till at closing.
Appointments live in a weekly calendar. You pick the branch and the date, click an empty slot to open a booking and drag it to move it; hours outside opening times show as closed. The appointment list filters by customer, service, staff member, status and date range, and every row shows the price, the amount paid and the balance. Status is changed from the row and payment is taken in the same place.
Walk-ins are handled on the open checks screen. A check is opened under a chair or booth name; the cut, the shave and any product go onto that same check, and closing it prints a receipt that can be reprinted. “The bill on chair three” is not left hanging in the air — it sits in the panel.
Per-chair commission is the most discussed subject in a barbershop. Each employee’s branch and role sit on their staff record, and who did which job is recorded on the check and booking rows. The staff performance report shows how many jobs each did and what they brought in; the commission report shows what that comes to. You pick the branch and the period, and the tables download as Excel and PDF.
For recurring work such as beard upkeep or a regular cut, the package screen is used: session-based and minute-based packages show the price, the amount paid, the balance and the sessions used out of the total on one row. Retail — beard oil, pomade, shampoo — is sold from the store screen by barcode. The panel runs in the browser with nothing to install, and the iOS and Android apps open with the same account.
Modules
Click an empty slot in the weekly calendar to open a booking, drag it to move it. Hours outside opening times show as closed; with several shops each branch has its own hours.
A walk-in gets a check opened under a chair name; the cut, the shave and any product go onto the same bill. A closed check’s receipt can be reprinted.
Who did which job is recorded on the row. Staff performance and commission reports are read by branch and period; an account is deactivated in one click.
A regular’s past jobs, notes and tags sit on one record. The loyalty wallet and satisfaction surveys are tabs on the same record.
Recurring work such as beard upkeep is sold as a session-based or minute-based package; sessions used and remaining show on the row.
Pomade, oil and shampoo are sold by scanning a barcode; the Products and Stock tabs keep the catalogue and the count together.
How the day runs
Keeping bookings on the calendar and walk-ins on a chair check does not mean splitting the two: both go to the same till and the same staff report. Which chair is busy, who is free and which bill is still open — all on one screen. At closing the list exports to Excel or PDF.
Till and commission
When a check closes the amount moves to the till, and the till moves into the reports. The staff performance report shows how many jobs each person did and what they brought in, in counts and amounts; the commission report shows what that comes to. Income, expenses and the net figure filter by branch and date range, with expense categories such as rent and supplies shown separately.
