Packages and sessions
For session-based and minute-based packages the price, amount paid, balance and sessions used out of the total sit on one row. A session is deducted from the appointment and the remainder updates instantly.
For beauty salons
For salons selling skincare, hair removal and treatment packages. HMS Spa keeps every client’s remaining sessions, the amount paid and the balance on the same row, and runs from appointment to check to till in one flow.
A beauty salon’s book works differently from a hairdresser’s: the work is not one-off but spread across a series of sessions. If which session of a ten-session hair-removal package a client is on, how much she has paid and how much she still owes are tracked in three separate places, sooner or later the three stop agreeing. Beauty salon software reduces them to a single row: the package row carries the price, the amount paid and the balance next to the sessions used out of the total.
In HMS Spa packages have their own screen and come in two kinds — session-based and minute-based. A session is deducted from the client record or from the appointment; the remaining count updates instantly, and payments and instalments are handled on the same row. Every package the salon sells is defined on the package definitions tab, so reception never retypes a price or a session count when selling one.
Appointments live in a weekly calendar. You pick the branch and the date, click an empty slot to open an appointment and drag it to move it. Because long treatments must not clash over a room, hours outside opening times show as closed and each appointment carries its room on the row. The appointment list filters by client, service, staff member, status and date range, and every row shows the price, the amount paid and the balance.
The client record matters most in this line of work. Beside name, phone and city sit past treatments, notes and tags: allergies, skin type, products used — held on the record rather than in the therapist’s memory. Tags such as VIP, loyal client and allergy show in the list; the loyalty wallet and satisfaction surveys are tabs on the same record. The client list filters by name, city, tag and status.
Retail and stock sit in the same panel. On the store screen a home-care product is sold by scanning a barcode or searching by name and stock code; the Products and Stock tabs keep the catalogue and the count together. The finance screen filters income, expenses and the net figure by branch and date range; reports split into services, retail sales, package sales, staff performance and staff commission and export to Excel and PDF. The panel runs in the browser, and the iOS and Android apps open with the same account.
Modules
For session-based and minute-based packages the price, amount paid, balance and sessions used out of the total sit on one row. A session is deducted from the appointment and the remainder updates instantly.
Skin notes, allergy tags, past treatments and products used on one record. The loyalty wallet and satisfaction surveys are tabs on the same record.
Click an empty slot in the weekly calendar to open an appointment, drag it to move it. Each appointment shows its room on the row; hours outside opening times are closed.
Treatments and products are added to a check opened under a room name; closing it prints a receipt. Cash and card payments are taken on the same screen.
Home-care products are sold by barcode or by searching name and stock code. The Products and Stock tabs keep the catalogue and the count together.
Service, retail, package, staff performance and commission reports by branch and period; all of them export to Excel and PDF.
Packages and sessions
The “I have used eight sessions” argument happens when nobody knows where the count is kept. On the package row the sessions used and the total are written out, the session is deducted from the appointment, and the same figure shows on the client record. Because the amount paid and the balance sit on that same row, the payment is not up for debate either.
Till and reports
When a check closes the amount moves to the till, and the till moves into the reports. Income, expenses and the net figure filter by branch and date range, with service, package and retail income shown separately. How often a treatment was performed and what it brought in is read from the service report; who earned what is read from the commission report.
After your trial request we open an account for your business. There is no setup and no server; you sign in at app.hmsspa.com.
The treatment list, prices and package definitions are entered; session-based and minute-based packages are defined separately.
Your Excel client list and open package balances are imported free of charge during the move. Half-used packages carry on where they left off.
Staff get their own accounts. Reception sees the calendar, each therapist sees their own day and the owner sees the till and the reports.
