Hotel spa: read your two customer streams separately

A hotel spa receives two separate streams: the guest staying upstairs and the customer walking in from outside. HMS Spa keeps both in the same panel but keeps them readable apart — the tag lives on the customer record, and the revenue separates in the service and period reports.

What does a hotel spa need to know?

A hotel spa is a second business inside a business. Part of the revenue comes from the guest staying in the hotel and part from the customer coming in off the street, and even where the two do not pay the same price for the same treatment, they share the same cabins, the same staff and the same till. Management’s question is therefore not “how much did we sell” but “how much did we sell to which stream”.

In HMS Spa that distinction is set up with a tag on the customer record. Tags such as hotel guest, outside customer or corporate agreement sit on the record and filter in the client list; because the appointment and check rows carry which customer they belong to, revenue can afterwards be separated along that tag. Each appointment also shows its room and staff member on the row.

A check is opened under a cabin or room name; services and products are added to the same bill, which closes once on the way out and prints a receipt, reprintable if needed. On busy days a booked guest and a walk-in enter the same flow: one from the calendar, the other from a check, and both land in the same till.

On the management side the finance screen filters income, expenses and the net figure by branch and date range, with the till, current accounts and expense categories on separate tabs. The service report shows how often each treatment was given and what it brought in, and the staff commission report what each therapist earned. When several properties are run from one account, the reports place them side by side and the tables download as Excel and PDF.

Modules that matter here

The six screens a hotel spa uses most

Customer tags

Hotel guests, outside customers and corporate accounts are separated by tag; the client list filters by tag.

Cabin checks

A check is opened under a cabin or room name; services and products go onto the same bill, closed once on the way out.

Appointment calendar

In the weekly calendar the appointment’s room and therapist show on the row; hours outside opening times are closed.

Service report

How often each treatment was given and what it brought in, in counts and amounts; filtered by branch and period.

Therapist commission

Who did which session is recorded on the row; performance and commission reports are read separately.

Multi-property management

Each property is defined with its own hours and time zone; reports place properties side by side.

Two streams

The same cabin, not two separate books

Keeping hotel guests and outside customers in two different systems ends with the same cabin being sold twice. HMS Spa uses one calendar and one till; the distinction lives in the record itself, on the customer tag. Capacity is visible from one place while revenue can still be read by stream afterwards.

  • One calendar, one till; the distinction on the customer tag
  • The appointment’s room and therapist visible on the row
  • Checks opened under a cabin or room name
  • Booked guests and walk-ins handled in the same flow
  • Revenue read from the service and period reports

Reporting to management

A table ready for the management meeting

Hotel management wants two things from the spa: the period’s turnover and where it came from. The finance screen gives income, expenses and the net figure by branch and date range; the service report shows which treatments the turnover came from, in counts and amounts. Package and retail income appear separately, staff commission is read from its own report, and every table exports to Excel and PDF.

  • Income, expenses and net filtered by branch and period
  • Counts and turnover in the service report
  • Service, package and retail income shown separately
  • Staff performance and commission reports
  • Every table downloadable as Excel and PDF

Frequently asked

Hotel spa management — frequently asked questions

How do we separate hotel guests from outside customers?

With a tag on the customer record. Tags such as hotel guest, outside customer and corporate account are defined, sit on the record and filter in the client list; because appointments and checks carry which customer they belong to, revenue can be read along that split.

We have several properties — can we run them from one account?

Yes. Each property is defined with its own opening hours and time zone; the calendar, the checks and the finance screen filter by property, and reports place properties side by side.

Can we produce a period report for management?

Yes. The finance screen gives income, expenses and the net figure by property and date range; service, package and retail income appear separately and the tables export to Excel and PDF.

Does the software work out therapist commission?

Who did which session is recorded on the appointment and check rows. Staff performance and commission reports are read by property and period and exported.

Do I need a credit card to try it?

No. The 14-day free trial does not ask for a card, and every feature is open during the trial.
